Job Title: Administrative Assistant
Location: Boston, MA
Duration: 7 Months

We are seeking a bilingual Administrative Assistant (Spanish/English) to support daily operations at our regional office in Boston. This role includes front-desk responsibilities, general office support, and coordination of meeting spaces. The ideal candidate is highly organized, detail-oriented, and comfortable interacting with both internal teams and the public.

• Serve as the first point of contact for callers and visitors, providing courteous and professional assistance

• Respond to inquiries and refer individuals to appropriate departments or external resources

• Manage all incoming and outgoing mail; ensure timely distribution to relevant staff

• Maintain inventory and order office supplies as needed

• Provide basic support for office equipment and coordinate with vendors as necessary

• Schedule and coordinate the use of meeting and training rooms

• Manage conference room calendars and support room setup and breakdown before and after meetings

• Perform other administrative tasks as assigned to support office efficiency

• Fluency in both spoken and written Spanish and English

• Excellent customer service and interpersonal communication skills

• Ability to follow written and verbal instructions accurately

• Discretion in handling confidential information and sound judgment in professional settings

• Strong attention to detail and organizational skills

• Comfortable using and learning IT systems

• Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.)

• Familiarity with the structure and functions of state government is a plus
