About Vocation Ministry: Vocation Ministry is a Catholic nonprofit located in northwest Houston, Texas. Our mission is to ignite a vibrant culture of vocations by uniting with dioceses to strategically train, equip, and encourage vocation directors, priests, and laity. We seek to hire and retain employees skilled in their field, active in their Catholic faith, and enthusiastically dedicated to carrying out Vocation Ministry's mission. To be considered for this position, candidates should reside within the Archdiocese of Galveston-Houston in Texas, as occasional in-person meetings or events may be required. Position Overview: The Executive Assistant will report directly to the President and serves as the key point of contact for dioceses, ensuring smooth communication, efficient coordination, and timely delivery of all Vocation Ministry engagements. This role supports the planning of diocesan workshops, conferences, and follow-up sessions by managing logistics, contracts, and timelines. The ideal candidate is detail-oriented, highly organized, and committed to advancing the mission of fostering a vibrant culture of vocations within the Church. Key Responsibilities:

  • Representing Vocation Ministry as the primary contact for dioceses, providing updates and managing communication.
  • Create and track contracts with dioceses, ensuring proper documentation
  • Schedule Zoom sessions
  • Coordinate travel logistics for workshops & conferences (flights, accommodations, etc.)
  • Manage and send resources to dioceses
  • Manage timelines and checklists for diocesan and event deliverables
  • Maintain and update outreach and workshop results database
  • Perform mail merges and provide general administrative support as needed
  • Collaborate with other departments as needed
  • Help with various tasks for Vocation Ministry gala
Qualifications:
  • Practicing Catholic
  • Reside within the Archdiocese of Galveston-Houston, TX
  • Has at least 2-5 years of experience as an administrative assistant or similar role
  • Possesses strong writing, editing, and proofreading skills
  • Excellent multitasking, organizational, and communication skills
  • Proficiency in Microsoft Office 365 (Excel, Word, Outlook, Teams) and familiarity with Calendly and Zoom
  • Strong attention to detail with the ability to work independently and collaboratively
Hours/Salary/Benefits:
  • 20-30 hours per week, flexible schedule
  • Work from home (few in-person days)
