The front desk receptionist is the first point of contact for patients and serves as the bridge between patients and the dental team. This role ensures that the office runs efficiently, patients feel welcomed, and schedules stay on track.
Key Responsibilities1. Patient Reception & Customer Care Greet patients warmly and professionally as they enter the office.
Check in patients, update contact and medical information, and give required forms.
Answer patient questions about appointments, services, or insurance in a friendly manner.
Provide directions or instructions for pre- and post-treatment care as needed.
Maintain a welcoming and clean reception area.
2. Scheduling & Calendar Management Schedule, confirm, and reschedule appointments by phone, email, text, or in person.
Manage the daily appointment book to maximize the dentist’s and hygienists’ time.
Handle last-minute cancellations, fill empty slots quickly, and follow up with patients who miss appointments.
Send reminders for upcoming appointments.
3. Phone & Communication Handling Answer all incoming phone calls promptly and courteously.
Direct urgent calls to the dentist or appropriate staff member.
Take accurate messages and deliver them promptly to the right team member.
Respond to voicemails, emails, and online inquiries.
4. Insurance & Payment Processing Verify patients’ insurance benefits and eligibility.
Enter insurance and billing details into the patient management system.
Collect co-pays, balances, and provide receipts.
Explain basic billing or payment questions to patients.
Coordinate with insurance companies for claims when needed.
5. Recordkeeping & Data Entry Maintain accurate and up-to-date patient records in compliance with HIPAA regulations.
Scan, file, and organize consent forms, referrals, and other documents.
Generate daily, weekly, or monthly reports as requested by the office manager or dentist.
6. Office Support & Administration Assist with inventory of front desk supplies (forms, pens, brochures, etc.).
Sort and distribute mail and packages.
Support the clinical team during busy times by keeping the flow of patients on schedule.

Knowledge of dental terminology and scheduling software (e.g., Dentrix, Eaglesoft, Open Dental) is an advantage.

Team-oriented attitude to work closely with the dentist, hygienists, and assistants.
