Middle School 11 Month Secretary Location Owensville, MO :

CLASSIFICATION: Classified

ESSENTIAL SKILLS:

  • Computer experience in word processing, database, and spreadsheet
  • Ability to manage diverse constituency groups including but not limited to: patrons, students, families, teachers, etc.
  • Ability to manage diverse tasks simultaneously
  • Knowledge and experience in office management

QUALIFICATIONS: Minimum of a high school diploma or its equivalent & skills for the successful performance of the tasks assigned.

REPORTS TO: Building Principals, Superintendent and Assistant Superintendent

JOB GOAL: To work with supervisors, staff, students, and parents to facilitate a smooth, positive operation of the school facilities.

REQUIRED PERFORMANCE RESPONSIBILITIES :

  • Answer incoming calls to the building, relay messages to staff and students and sort mail from Central Office
  • Relay transportation changes to teachers and students
  • Relay information regarding students to staff members on a need to know basis while maintaining confidentiality
  • Work closely with other secretaries to ensure the office runs smoothly and maintain a positive environment
  • Organize back to school information, all collections, items, checklists, student notes etc
  • Maintain student records, keep permanent records organized and forward 8th grade permanent records to the high school at the end of the school year
  • Update extension lists, lunch lists, check lists, mailboxes at the beginning of the school year
  • Keep sub calendar up to date
  • Keep track of staff absences in SISFin and Timeclock for payroll
  • Maintain class lists and display on doors when approved to do so by principal
  • Keep district calendar updated with OMS events
  • Assist with fire, tornado, earthquake and intruder drills. Perform necessary tasks as needed for emergencies in the building
  • Work with family liaison, counselor and principals to keep them aware of homeless and foster students, court orders, student needs
  • Forward all free and reduced lunch applications immediately
  • Create POs, collect & verify receipts and send to Central Office. Maintain purchase cards and verify purchase card statements
  • Make deposits and maintain activity accounts
  • Distribute and collect purchase request forms for the following school year. Place orders in June
  • Make copies for building level handouts
  • Create work orders for district assistance for copy paper when needed
  • Help with the 10 month secretary duties when they are absent

TERMS OF EMPLOYMENT: 11 month position. Salary to be established by the Board of Education.

EVALUATION: Each employee will be evaluated by his/her supervisor(s) on a regular basis according to evaluation procedures established by the Board of Education. Evaluations will be based on general expectations for all employees, and the specific responsibilities of the position being evaluated.

PHYSICAL, MENTAL AND VISUAL DEMANDS: While performing the duties of this job, the employee is frequently required to stand, walk and sit. Additionally, the employee may occasionally be required to push or lift up to 25 lbs. as necessary for the safety and well-being of others. Lastly, this job requires the employee to have the vision ability to read handwritten or typed materials, and meet multiple demands from several people while interacting with other staff and the public.
